How to Import Users (Bulk Import)

You can onboard multiple users at once using the Bulk Import feature in the Squaretalk Platform.

The process is guided and interactive, allowing you to validate, configure, and customize users before they are created.

📌 Note: Admin permissions are required to import users.


Step-by-Step: Import Users

  1. Go to Settings → Users & Permissions → Users and click “Import Users”. 


  1. After being redirected to the import page, choose your preferred way to add users:

    1. Paste Emails only separated by new lines. (You will be prompted to enter names in the next step.)

    2. Paste comma-separated or tab-separated values for Emails and Names. (Example 1: john@company.com, John Smith) (Example 2: john@company.com[Tab]John Smith) 
    3. Upload the filled in CSV or Excel sample file with the Emails and Names details. 

💡Useful Tip 1: You can download the sample file directly from the import page.


  1. Check the detected users that will appear in the preview list below.

  2. Before importing, you can define default settings for all users:

  1. Role / Permission Level

  2. Group Membership

  3. Language

  4. Extension Type

  5. Call Waiting

  6. Active / Inactive Status


💡Useful Tip 2: Extension numbers are automatically assigned based on available numbers. You can manually adjust extensions if needed.

  1. You can edit specific users before importing by overriding:

  1. Role

  2. Group

  3. Language

  4. Extension

  5. Status

  6. Settings


💡Useful Tip 3: The email cannot be changed at this stage.

  1. The system validates everything before import, including:

  1. duplicate emails

  2. duplicate extensions

  3. required fields

  4. password strength

💡Useful Tip 4: If no password is provided the system will automatically generate a secure password.

  1. Complete the Import



Password Requirements

Passwords must include:

  • at least 11 characters

  • at least one uppercase letter

  • at least one lowercase letter

  • at least one number

  • at least one special character


If an Error Occurs:

  • The valid users will be imported successfully

  • Failed users will be clearly identified

  • An error message will explain the issue

  • You can fix and retry immediately, by going one (or more) step back and editing users’ details
