Understanding Storage in Squaretalk

Storage in the Squaretalk Platform refers to the total amount of data your account uses, mainly generated from daily operations such as calls, messages, emails, and contacts.

📌 Note: Audit logs are not included and are always retained by the system.


Storage Limit vs Retention Period

Each account has two key parameters:
  1. Storage Limit: This is the total amount of data (in GB or TB) your account can store.
  2. Storage Period (Retention): This defines how long your data is kept in the system. (12 months, 24 months, or more)

The system uses a rolling time window, meaning:

  • Only data within the defined period is considered active

  • Older data is automatically archived (or deleted) by the system


How Storage Is Managed

Squaretalk uses an automated system to manage storage efficiently:
  • Recording and messaging never stop, even if limits are reached
  • When storage approaches its limit, the system will:

    • notify admins

    • begin managing older data automatically

Automatic Data Lifecycle

Data is managed in two stages:

1. Archive: Older recordings are moved to secure storage (cold storage) for 180 days.
These do not count toward your active storage limit.

2. Deletion: After a defined period in the archive, data is permanently deleted and cannot be recovered.


Storage Visibility

Admins can view storage usage at Settings → General → Storage.

This page shows:

  • total usage vs limit

  • breakdown by data type

  • per-user storage usage

  • export and refresh options
